BOURNE LEISURE SLASHES STATIONERY COSTS WITH ONLINE SOLUTION

Berkeley PR
May 2008

Bourne Leisure, owner of Haven, Warner Breaks and Butlins, has appointed Office Canopy Group (OCG) to implement a new online stationery procurement solution to help employees across the group save time, share common prices and reduce overhead costs.

As part of a strategic review aimed at driving down costs, Bourne Leisure identified that 30 per cent of its stationery budget was spent through companies other than its preferred supplier, reducing the company’s negotiating power, increasing administration overheads, and unnecessarily inflating the prices paid for office supplies. The OCG procurement software gives Bourne Leisure the capability to control which products are purchased by employees in each of its 50 UK holiday sites. The solution ensures that products are sourced from the company’s preferred supplier at the lowest market price, rather than from local stationery providers.

Bourne Leisure’s head office can now take control of its purchasing policy by allowing remote buyers to log on to a tailor-made system and purchase office supplies via the approved source.

“The legacy system we had in place did not make it easy for our team members to quickly identify the stationery products they needed and then source them at the lowest possible price from an approved supplier. This resulted in high levels of maverick purchasing making it difficult for us to manage spend and stop different prices being spent on the same product over different sites,” explains Simon Crawshaw, Head of IT and Procurement at Bourne Leisure.

The OCG solution stores information relating to individual orders in the data warehouse, recording details of every purchase according to generic product code, user, location, budget, spend, cost centre and project. This generates comprehensive reporting capabilities, giving Bourne Leisure a complete picture of the stationery spend for the business across the entire company.

Doug McLean, CEO of OCG, adds, “Businesses can often be wary of changing their approach but after a three-month pilot at the Butlins resort in Skegness we were able to clearly demonstrate the advantages of our solution to the team at Bourne Leisure. We are delighted to be working with a company that is constantly striving to modernise its IT infrastructure and are confident that we will be able to help reduce their spend on stationery supplies by up to 30 per cent”.
